2008 Official Club Meeting Re-Cap

OFFICIAL LAMBRETTA CLUB LAMBRETTA JAMBOREE MEETING 2008

 

One of the main reasons to organize a Jamboree is to give the chance for Lambretist

to meet once a year and socialize with other enthusiasts from across the USA. It should be a positive experience and an opportunity to exchange thoughts, ideas, knowledge, & energy.

 

Agenda:

 

1. Lambretta Jamboree.

  • Lambretta Jamborees should be scheduled if possible around the last week in June. This gives members a block of time to expect the event and plan accordingly.
  • I’d like to make a motion to pre-plan the Jamborees locations at least two years in advance. This gives members that live extreme distances from the current location

      the knowledge the “next one” is a Jamboree that they could possibly attend.

·        It’s very obvious a Jamboree should be a Lambretta only event.

2. Hosting a Lambretta Jamboree.

  • Planning and hosting a Lambretta Jamborees is a very serious undertaking. Certain standards and aspects will always remain the same. Other aspects & details will change per Jamboree.
  • Below listed is the expectation that must be met by the hosting members.

ü      An invitation with a preliminary program should be announced no later than 10 months prior to prepare the perspective attendees who might decide to go. This will also give the host ample time to make all the proper arrangements to successfully carry out the Jamboree. (SO HOPFULLY WE CAN HAVE A DECISION BY LATE AUGUST)

ü      Admission fees will be relative to all aspects forecasted and a price will be solidified after a cost analysis by the LCUSA President, and host’s planning committee’s representative.

ü      Ample hotels, motels, B&B’s, etc., need to available. Camping facilities with showers and toilets are a welcome addition to a city Jamboree for our camping members. Or hotels and motels being available to our non-campers at a camping Jamboree.

ü      Detailed information about the surrounding are needs to be available, e.g., gas stations, food, groceries, etc.

ü      Activities planned, relative to space & time available, gymkauna, slowrace, games, judging, etc.

ü      At least one breakfast either day

ü      Friday night meet and greet

ü      Saturday dinner. This should be an “anticipated event” beer, cocktails, & wine, should be available for those old enough to drink. Food should be above average, and include one full plate per attendee.  It being a “sit down affair” isn’t necessary, simple it needs to be “good”

ü      One main ride for Saturday.

ü      Saturday night entertainment.

ü      Raffle to  generated revenue for the LCUSA

ü      Children 8 and under are free.

ü      8-13 are expected to pay for food.

ü      Hosts are expected to get sponsors. Money, physical support, equipment, property, and prizes are all acceptable.

ü      Payments of attendees are all paid to the LCUSA

ü      Records or money spent are to be kept for any re-imbursements. IT WAS SUGGUSTED THAT A CENTRAL HUB NEEDED TO BE ESTABLISHED. THIS PLACE WOULD BE IDEAL FOR RALLY GOERS TO COME TO IF LAMBRETTA REPAIRS NEEDED TO BE DONE, AND A PLACE FOR PEOPLE TO CONGREGRATE. THIS ITEM WAS AGREED ON

 

 

2a. Not necessary but a nice touch.

·        Thursday pre-party

·        A raffle Lambretta (MEMBERS EXPRESSED THEY WOULD LIKE A SCOOTER AND VOLUNTEERS ELECTED TO ASSIST IN GETTING ONE) (Craig said he would be willing to restore a bike for future Lammy Jammys)

·        Pick up of “out of towners” Lambretta

·        A Sunday ride (Multiple rides for different bikes/skill levels.  IE. In-town/shopping ride, fast ride, ect.) currently on the forum the idea of have children friendly events should be added.

·        Additional  information for attendees taking an extended vacation

 

2b. What hosts can expect from the LCUSA.

·        Financial support- amount to be determined at the review of the proposal.

·        T-shirts & rally bag supplies will be paid for in advance by the LCUSA. Item in the bags at a minimum include, a sticker, embroidered patch, pin, a promotional item.

·        As of now signage will be provided, if this changes it will be announced.

·        Help acquiring sponsors.

·        Artwork

·        Guidance in the planning process.

·        Providing of trophies

 

 

3. Look back at last years meeting.

  • Prorating the rally- still a no? NO on prorating any part of the rally.
  • Crew drive? Let’s review this in the new ideas
  • Lifetime or extended memberships. 5 years memberships are available. Lifetime memberships have pros & cons……  It was decided 5 years is good and a special patch will be put into production

4. New ideas

 

  • Crew drive- done by individual members. If a current LCUSA member can get at least 5 new members signed up within a year of first sign up, the current member gets one free year of membership. The new member must tell Jen at time of payment the current member’s name. This idea was bought up last year but never initiated, so let’s do it starting now? YES
  • * For cities that could handle it: a certain night would be designated  where LCUSA members and those who are interested could meet.  Something like meetup.com
  • Continue with the Eurolambretta contest? YES
  • LCUSA’s biggest supporter contest.

   Details of the biggest supporter contest: During the year members sporting LCUSA pride at  rallies will get rewarded with points. At the end of the jamboree year the member with the most points wins a prize package including a gift certificate to a supporting shop, one screen printed mechanic’s work suite, a spanners guide or Lambretta DVD, and an  “LCUSA’s biggest supporter trophy.

The trophy will be engraved with your name on it, year, and points earned. To achieve points a member can:

Ride over 150 Miles to a rally and get 20points

Ride over 100 Miles to a rally and get 15points

Win a trophy with your Lambretta at judging and get 15points

Have a legsheild banner on their Lambretta and get 10 points.

Wear a shirt for a full rally day 5 points.

We will need a LCUSA volunteer who is at said rally or that rally’s organizer to agree to verify the information. Members motioned that photo verification is good enough, and we can trust the honor system 

This contest starts after this Jamboree and the winner is announced at the next Jamboree.

  • Charity contest.

Details: A member or a group of members will raise funds for a charity of their choice. The member or group that has raised the most money will get free admission to the Lambretta Jamboree. The LCUSA will add an additional $100 to the sum raised by the winner. Non-members only get half of their admission paid. The other funds collected for the other charities will still be hopefully donated. This contest starts after this Jamboree and the winner is announced a month before the next Jamboree. Cap of 5 Jammy free entries for winners.
